ART FILE requirements for sending files to

BABER

Files can be accepted in the following programs:

 

  1) PageMaker 6.5 for PC, 7.0 for MAC,  (MAC or PC – PC files have to be converted to MAC)

      Many fonts will be different on systems and will have to be substituted with MAC fonts - this will take additional time if it is necessary) It would take a couple of extra steps but, saving your file as a tiff will eliminate any font differences.

      a.   Send all placed files including logos, graphics, photos, clip art, etc. Check the “Links Manager” dialogue box to

            make sure that all files associated with the document are linked up. Not sending the images will delay the

            printing and mailing process.

      b.   When placing images into the PageMaker file, check “no” to the box which asks if you want a copy placed in the 

            file. Checking “yes” will make the file size much larger than needed and embeds the file in the document. (It                 would then be impossible to make any necessary color changes to logos, artwork, clean up photos, recrop

            photos, add or change anything in the images without the original files.)

      c.   Fonts need to be included. (screen fonts and printer fonts)

      d.   Hard copies should be faxed, emailed or uploaded for all jobs or errors could occur. We need to be able to check                        our printed pieces against your hard copy to make sure there are no errors, defaulted fonts, missing files, etc.

      e.   Multiple page documents should be set up in printer spreads if possible. If you are not familiar with that, please

            set the pages up one per page.

      f.    Please do not change the color specifications of CMYK or Red, Blue, Green unless you also change the                         name. If we have a file that needs to be put inside a template to get ready to print, the original document knows, for example, red has been changed to some percentage of magenta and yellow and maybe cyan. My template                  file shows up as the originally specified red, because it sees the color names and knows what red is in Quark or

            Pagemaker. Changing the color specs without changing the name results in color differences.

      g.   Name your image files, BUT, do not change the names once they are placed or linked. This will break the links.

      h.            Gathering files for Service Provider - Utilities - Plug-Ins - Save for Service Provider. (This probably will not

            include fonts used in the job. Those will need to be sent separately.)

      i.    See #8 for building up the black.

 

   2) Photoshop tiff or eps files (photos, scans) — (PC or MAC)

      a.   These should be saved as grayscale or CMYK and as Tiff or EPS. JPEG files are low res and will have to be                     changed to tiff or eps and grayscale or CMYK.

      b.   Scans and photos should be at least 300 dpi for better image output.

      c.   All images need to be included with your page layout file.

      d.   Slides and photos to be scanned should be marked to show which areas are to be cropped out. It should be 

            clear as to which areas or people you want to be in the picture.

      e.   Files with clipping paths must be saved with the path as an eps file or errors will occur in the printing process.

      f.    Make sure you have enough of the picture so that if it is to bleed off the page it will have enough area to do that.

      g.   Make sure the LZW compression box is unchecked when saving the file.

      h.   Saving as EPS - choose TIFF (8 bits/pixel)  Binary in the EPS options box.

      i.    See #8 for building up the black. This is for layered files where black isn’t already percentages of CMYK.

 

 

  3) Illustrator eps files (logos, artwork) — (PC or MAC)

      a.   These need to be included with the file.

      b.   If spot colors are used they should be listed.

      c.   You need to include the screen fonts and printer fonts. If you know there will be no    

            changes you can change your text to outlines. Make sure that you SAVE AS

            another file name, in case there are changes that need to be made.

      NOTE: If saving your text as outlines, it is virtually impossible to make type corrections, and it will make

            the type a little fatter. You should also make a copy of the file before changing to outlines just

            in case there are changes or to use as a template for the next time.

      d.   Embedding images such as photos can create problems especially if the photos are JPG files or are not CMYK.

            It is best not to embed photos or images into Illustrator.

      e.   See #8 for building up the black.

 

 

 

 

4) QuarkXPress 4.1 on PC or 6.0 on MAC - MAC will open PC Quark files but, not PC fonts and visa versa.

      a.   Image and font files should be checked in the “Picture Usage” dialogue box to make sure that all files associated             with the document are linked up. You can “collect for output” to gather images. Fonts will not “collect for output”.

            Images including photos, graphics, clip art, and logos should be in the folder with the document for output.

      b.   Multiple page documents should be set up in printer spreads if possible. If you are not familiar with that, please

            set the pages up one per page.

      c.   Please do not change the color specifications of CMYK or Red, Blue, Green unless you also change the                         name.    5) Publisher 2002 (PC)

      a.   Use the “pack and go” feature to collect your files for output. Fonts may not collect.

      b.   See #8 for building up the black.

     

   6) Microsoft Word, Excel, Ventura, Microsoft Office, are not acceptable as output files as they do not separate to CMYK.  

       However, Microsoft Word files are acceptable as text files for flowing in text to other page layout programs.

 

  7) Trapping will need to be done on placed files (in their original program) as well as the document layout program,              

      unless they are Photoshop files. Documents in Quark can be trapped using the “Show Trap Information” box. Files in

      PageMaker can be trapped by checking the “Enable trapping for publication” box in the Preferences in the File                   

      menu, Illustrator and Freehand files are trapped by overprinting the stroke. Trapping is complicated in some cases,

      so if you are unfamiliar with it, let us know to trap your file for you.

 

  8) Build up the black in areas where black is your background color or where it is used in areas such as

      boxes, ovals, etc. Not building up black in areas of heavy coverage usually produces a dull printed piece

      lacking in a solid black and more of a muddy brown color.

 

      The way to do this is to:

      A. add a new color and call it “New Black”.

      B. mix the CMYK colors using 40% cyan, 40% magenta, 20% yellow, and 100% black.

      C. use this new black for your backgrounds, or where there is a lot of black coverage.

 

      This prints a rich black and eliminates “hickeys” on the printed piece.

 

  9) Only place the files that are used in the document in the folder with the file to output. Put your screen and printer fonts

      inside the folder. Do not put extra files in the folder, this only causes confusion and a delay in printing.

 

 10) Sending files online - Stuffed or Zipped files are acceptable. Fonts must be stuffed or problems could occur.

 

 11) Large files may be uploaded to the website at www.baberweb.com.

            A. Zip or Stuff the file to be uploaded

            B. Go to www.baberweb.com and click on “Client login”

            C. Scroll down and click on “FILE UPLOAD” (you do not need a user name or password)

            D. Enter your email address, name and any notes regarding your file

            E. Choose recipient(s)

            F. Click on browse to find the zipped or stuffed file you wish to upload

            G. Click on “upload”

            H. Please wait until the file uploads. You will see “Thank you. Your file has been sent.”

 

There may be additional charges for some services such as trapping files, changing images, type changes. Scanning not quoted, would be additional. We will inform you if you are missing files or fonts.
